Comprehensive guidelines governing the Bharat AI Olympiad to ensure fairness, transparency, and integrity.
Effective date: [DD Month YYYY]. These Terms govern access to and use of Bharat AI Olympiad (“BAIO”), including registration, learning resources, online examinations, reports, rankings, certificates, awards, scholarship announcements, and related portals.
By registering a student, making payment, accessing the Portal, appearing for an examination, or accepting a certificate, the parent/guardian, student, school, or partner agrees to these Terms and the linked policies. For students below 18 years of age, the parent/guardian is the contracting user and confirms that they have authority to register the student and provide all required consents.
BAIO is operated by [LEGAL ENTITY NAME – confirm], with its principal office at [FULL DELHI/NCR ADDRESS – confirm]. If a school registers students in bulk, the school must ensure that parent/guardian consent has been collected where required and that student data is shared lawfully.
BAIO is currently designed for students of Classes 3 to 12. Registration is subject to seat availability, accurate student details, payment confirmation, identity checks where required, and compliance with examination rules. BAIO may ask for correction or verification of name, class, school, parent contact details, or other registration information before issuing admit cards, results, or certificates.
A valid registration may provide access to the announced BAIO resources, such as handbooks, question bank, AI foundations guide, mock test material, webinars, Round 1 examination, performance report, QR-verifiable digital certificate, rankings, and, where eligible, Round 2 access. Exact inclusions, timelines, and formats may differ by academic year and will be stated on the website, brochure, dashboard, or official notice.
Users must keep login credentials confidential and must not permit another person to use a student account or examination credentials. Official communications may be sent by email, SMS, WhatsApp, dashboard notification, phone call, or school coordinator. Users are responsible for keeping contact details updated and for checking the Portal for exam notices.
Users must not misuse the Portal, attempt unauthorised access, copy or leak questions, scrape data, interfere with examinations, upload malicious content, impersonate another person, or use BAIO content for commercial coaching, resale, publication, or training of third-party systems without written permission. BAIO may suspend or restrict access where it reasonably believes the Portal, exam integrity, or another user is at risk.
BAIO content, questions, explanations, reports, certificates, logos, rankings, templates, and learning resources are protected by applicable intellectual-property laws. Users receive a limited, non-transferable right to use resources for the registered student’s personal preparation and participation only. Unauthorised reproduction, distribution, sale, or public sharing is prohibited.
BAIO is an educational assessment and recognition programme. Registration does not guarantee qualification for Round 2, a rank, medal, scholarship, school admission benefit, government recognition, or any academic or career outcome. Unless expressly stated in writing by BAIO, certificates are BAIO-issued certificates and should not be represented as government, board, university, or statutory certifications.
BAIO may update schedules, exam windows, instructions, formats, platforms, rules, or operational processes for academic, security, technical, legal, capacity, or force majeure reasons. BAIO will make reasonable efforts to notify affected users through available communication channels and may provide an alternate attempt, rescheduled window, or other remedy where appropriate under the refund and exam policies.
To the fullest extent permitted by applicable law, BAIO is not liable for indirect, incidental, consequential, or special losses, including loss of opportunity, loss of rank expectation, or device/internet costs. BAIO’s aggregate liability for a paid registration is limited to the fee actually received for that registration, except where such limitation is not permitted by law. Nothing in these Terms limits statutory rights that cannot be waived.
These Terms are governed by the laws of India. Subject to applicable consumer law and mandatory dispute-resolution rights, courts and forums having jurisdiction over [New Delhi/Delhi – confirm exact seat] will have jurisdiction over disputes arising from BAIO services.
This policy explains how BAIO collects, uses, shares, stores, and protects personal data of students, parents/guardians, schools, partners, and website users. To register students, verify eligibility, issue admit cards or login credentials, and provide access to learning resources and mock tests.

For any student below 18 years of age, BAIO will require parent/guardian consent before collecting or processing the student’s personal data, including exam and proctoring data. BAIO should maintain a consent record showing who gave consent, date/time, contact detail, consent language, and the relevant policy version. If consent is withdrawn, BAIO may stop providing services that require such data, including online examinations, reports, certificate verification, or appeals.
BAIO will not knowingly process a child’s personal data in a manner likely to cause detrimental effect to the child’s wellbeing and will not undertake targeted advertising directed at children or behavioural monitoring of children for advertising purposes. Proctoring monitoring is limited to examination integrity, safety, audit, and dispute-resolution purposes.
BAIO may share limited data with service providers such as payment gateways, exam/proctoring platforms, cloud hosting providers, SMS/WhatsApp/email providers, analytics and security providers, certificate-verification tools, auditors, legal advisers, and delivery partners. Service providers should be bound to process data only for BAIO-authorised purposes and to apply reasonable safeguards.
Schools may receive student registration status, performance reports, aggregate analytics, certificates, and rankings for students registered through or associated with the school, subject to applicable consent and confidentiality obligations. BAIO may disclose data where required by law, regulator, court, law-enforcement authority, or to protect exam integrity, safety, security, or legal rights.

Parents/guardians and eligible users may request access, correction, updating, deletion, withdrawal of consent, grievance redressal, or information about processing by contacting [privacy/grievance email – confirm]. BAIO should apply reasonable technical and organisational safeguards, including access controls, encryption in transit where appropriate, secure password practices, role-based admin access, audit logs for sensitive operations, vendor review, backups, incident response, and periodic review of proctoring and payment workflows. No internet or examination platform can be guaranteed completely secure; users should also protect their devices, passwords, and communication accounts.

This policy applies to registration fees, learning-resource access, exam participation, subscriptions or add-on services if any, and payments made through BAIO’s authorised payment channels. The fee shown on the payment page at the time of checkout is the applicable fee. The current public website references Round 1 registration at ₹499 inclusive of GST; BAIO should update this clause if the fee changes.
Registration is confirmed only after successful payment reconciliation and creation of the student’s registration record. A payment debit by itself does not guarantee registration if the payment gateway later reports failure, reversal, chargeback, or mismatch. Users should retain the payment reference and receipt for support.
Because BAIO provides immediate or early access to digital preparation resources, student dashboards, seat allocation, operational planning, and exam infrastructure, voluntary cancellation or change-of-mind requests are generally not eligible for refund after registration confirmation or resource access activation. This does not affect refunds required for duplicate payment, failed registration, BAIO cancellation, or service deficiency covered below.

Duplicate or failed-payment refund requests should preferably be raised within 7 calendar days of payment. Exam-related technical refund requests must be raised within 48 hours of the affected exam attempt with screenshots, error details, device/browser information, and support-ticket history.
Approved refunds will be processed to the original payment method where feasible within 7–14 business days after approval or within the timeline prescribed by the payment gateway, bank, RBI, or applicable law. Gateway, banking, or tax reversals may take additional time after BAIO initiates the refund. BAIO is not responsible for delays caused by banks, payment gateways, incorrect user information, or chargeback investigations.
BAIO may reschedule an exam window, webinar, result declaration, Round 2 challenge, or award ceremony for academic, operational, security, technical, public-safety, legal, or force majeure reasons. Where a material service is cancelled and no reasonable alternate is offered, affected users may be eligible for refund or credit as announced by BAIO.
This policy governs online exam access, technical requirements, student conduct, proctoring, monitoring, exam interruptions, and accessibility/accommodation requests. Students and parents/guardians must read this policy before the mock test and live exam.

If the website, admit card, or official exam notice states a different format, the latest official notice for that exam cycle will prevail. BAIO should clearly state negative marking, if any, before the exam. If negative marking is not announced, scoring should follow the published question/mark structure.
A reliable internet connection, charged device, updated browser/app, working camera and microphone where proctoring is enabled, and a quiet well-lit room.
The student must complete any required system check, identity check, camera/microphone permission, mock test, and exam instructions before the live attempt.
The student must use only the authorised account and must not share credentials, examination links, questions, screenshots, or answers.
Parents/guardians should help younger students set up the device before the exam but must not assist with answering during the live exam.
For exam integrity, BAIO may use live, recorded, automated, or human-reviewed proctoring. Monitoring may include camera/microphone checks, periodic photos, audio/video recording, screen/tab activity, browser events, IP/device logs, identity verification, plagiarism or similarity checks, and post-exam human review of flags. For minors, parent/guardian consent is required for proctoring data collection and review.
Automated flags are indicators, not final disciplinary decisions by themselves. Material adverse decisions such as disqualification, result withholding, or award withdrawal should involve human review of relevant evidence and applicable exam instructions.
The student must remain visible, stay in the examination area, keep the camera and microphone enabled where required, and avoid unnecessary movement, talking, looking away repeatedly, or interacting with others.
Only permitted rough paper and writing instruments may be used if allowed in the exam instructions. Calculators, phones, smartwatches, books, notes, messaging apps, browser tabs, screen-sharing tools, or AI assistants are prohibited in Round 1 unless expressly allowed.
For Round 2, use of the safe AI assistant is permitted only within the rules and tool environment announced by BAIO. External AI tools or unauthorised human help remain prohibited unless expressly allowed.
The student must not refresh, close, reload, switch tabs, take screenshots, record the screen, copy questions, or attempt to bypass proctoring controls.
If a technical interruption occurs, the student should immediately follow on-screen instructions and contact BAIO support within the announced support window. BAIO may review system logs, proctoring data, submission status, question exposure, and support history before deciding whether to resume, reopen, provide an alternate attempt, score the submitted attempt, or mark the attempt invalid. Retests are not automatic and may be denied where the issue is attributable to the user’s device/internet or where question security has been compromised.
Parents/guardians or schools should request reasonable accommodations for disability, medical, or accessibility needs before the deadline announced for the exam cycle. BAIO may ask for relevant documentation and will try to provide practical accommodations such as extra time, alternate instructions, assistance in setup, or alternate proctoring arrangements, subject to exam integrity and platform feasibility.
This policy explains how BAIO evaluates attempts, prepares scores, declares ranks, resolves ties, and corrects errors. The applicable marking scheme and section weightage must be published before the exam through the website, admit card, dashboard, or official notice.
Round 1 MCQ responses are evaluated against the official answer key and marking scheme. Round 2 hands-on submissions, if applicable, are evaluated using a rubric announced by BAIO, which may include problem understanding, responsible AI use, creativity, reasoning, solution quality, explanation, ethical awareness, and originality. BAIO may moderate or audit scores to correct technical or clerical errors and to maintain fairness across forms or exam windows.
If BAIO uses different question papers, dates, windows, or difficulty levels, BAIO may use a documented moderation or normalisation method to ensure comparability. The method should be applied consistently within the same grade band and exam cycle. Raw marks, scaled marks, percentile, and rank may differ depending on the announced evaluation method.
BAIO may publish national, state, city, school, grade-wise, section-wise, or category-specific ranks. Ranking is normally prepared within the same grade or grade band and exam cycle. BAIO may set minimum participation, minimum score, integrity clearance, or data-validation requirements before issuing ranks, awards, or public leaderboards.

BAIO is intended to measure the student’s own understanding, reasoning, and responsible use of AI. All students, parents/guardians, schools, partners, and coordinators must protect exam confidentiality and fairness.

BAIO may review proctoring records, system logs, response patterns, similarity indicators, human reports, school reports, public leaks, and other relevant evidence. Depending on severity, BAIO may warn the student, invalidate specific answers, terminate the attempt, withhold or cancel result, disqualify the student, revoke certificate/rank/award/scholarship, block future participation, notify the school or parent/guardian, or take legal action for question leakage, fraud, or IP misuse.
Except where immediate action is required to protect exam security, BAIO should provide a brief notice of the alleged issue and a reasonable opportunity to respond before imposing a major sanction. BAIO is not required to disclose confidential proctoring algorithms, full recordings, question-security material, or evidence that would compromise exam integrity, but it should explain the basis of the decision in a fair and age-appropriate manner.
Schools, coordinators, partners, and coaching entities must not solicit, store, leak, reproduce, or sell BAIO examination content. Any institutional involvement in malpractice may result in cancellation of affected registrations, withholding of school reports or awards, termination of partnership, and legal remedies.
This policy governs BAIO certificates, reports, rankings, medals, felicitation, scholarships, and other recognitions. Specific award categories, eligibility thresholds, scholarship amounts, event dates, and delivery methods must be announced separately for each exam cycle.
Every student who completes a valid Round 1 attempt and clears integrity checks is eligible to receive the announced digital certificate and/or performance report. Certificates may include student name, class/grade, school/city, exam cycle, participation or achievement category, rank where applicable, certificate ID, QR code, and verification link. BAIO may withhold, correct, reissue, or revoke certificates where registration data is incorrect, fees are reversed, the attempt is invalid, or malpractice is confirmed.
Awards may be based on national, state, city, school, grade-wise, or category-wise rankings. BAIO may set minimum score, minimum participation, identity verification, valid attempt, and integrity-clearance requirements. Public award ceremonies, school felicitation, media features, or social-media announcements may require separate parent/guardian consent for minors, especially for photographs, video, name, school, and city publication.
The public website currently describes Round 2 eligibility as the top 20% of Round 1 performers. BAIO should calculate eligibility within the relevant grade band and exam cycle unless the official notice states otherwise. Qualification may be subject to valid registration, payment confirmation, identity match, integrity clearance, and technical feasibility. BAIO may expand, reduce, or adjust qualifier lists only through a documented and fair method announced to affected participants.
Scholarships, cash awards, fee waivers, internships, mentorships, learning credits, merchandise, or partner benefits are available only if expressly announced by BAIO for the relevant exam cycle. Such benefits may be subject to KYC, parent/guardian acceptance, tax deduction/reporting, bank-account verification, continued eligibility, non-transferability, and compliance with all policies. BAIO may substitute an equivalent benefit where the announced benefit becomes unavailable for reasons beyond its reasonable control.
Certificate verification is intended to confirm authenticity of BAIO-issued certificates. Users must not alter, forge, sell, misrepresent, or misuse certificates, ranks, badges, or award claims. BAIO may publish a certificate-verification page showing minimal certificate metadata needed for authenticity checks.
